Ad Hoc Therapy Room Booking Terms & Conditions

By registering for and using the ad hoc room booking platform operated by Y-curate, located at Unit 1a, 135 Kilburn Lane, London W10 4AN (“Y-curate”, “we”, “our”, or “us”), you agree to the following Terms & Conditions.

1. Booking Availability

1.1 Rooms may be booked up to 21 days in advance and, subject to availability, up to the start time of the desired booking.

2. Amendments, Cancellations & Refunds

2.1 Bookings may be rescheduled up to 24 hours before the scheduled start time via the online booking platform. 

2.2 Once a booking has been confirmed, cancellations, refunds, credits, or transfers to another therapist are not permitted. 

2.3 Y-curate reserves the right to cancel or amend bookings in exceptional circumstances. In such cases, an alternative booking or refund will be offered where appropriate.

3. Permitted Use

3.1 Treatment rooms may only be used for the professional therapeutic services agreed with Y-curate. 

3.2 The treatment rooms may only be used during the booked time period. 

3.3 Practitioners must not sublet, share, or permit use of the room by any third party without prior written consent from Y-curate. 

3.4 These Terms do not create any partnership, employment, agency, or joint venture relationship between Y-curate and the practitioner.

4. Professional Standards

4.1 Practitioners are responsible for ensuring they hold appropriate professional qualifications, registrations, licences, and insurance required to practise legally and safely. 

4.2 Practitioners must maintain valid professional indemnity insurance and public liability insurance throughout their use of the premises and provide evidence upon request. 

4.3 Practitioners are solely responsible for the treatment and care of their clients and for complying with all applicable legal, professional, ethical, and regulatory obligations, including data protection and confidentiality requirements.

5. Use of Rooms & End of Session Requirements

5.1 Practitioners must vacate the room promptly at the end of their booked session. 

5.2 Rooms must be left clean, tidy, and ready for immediate use by the next therapist. 

5.3 Y-curate reserves the right to charge a reasonable additional fee where: 

  • a practitioner overruns their allocated time;  

  • a room is left in an unsuitable condition; or  

  • additional cleaning or maintenance is required.  

5.4 Practitioners must switch off lights and electrical equipment before leaving the room and ensure doors are locked where applicable.

6. Responsibility for Premises & Damage

6.1 Practitioners are responsible for the treatment room and its contents during their booking period. 

6.2 Any damage, accident, incident, or maintenance issue must be reported immediately to info@ycurate.com

6.3 Practitioners shall be liable for the reasonable cost of repairing any damage caused by themselves, their clients, or anyone attending on their behalf. 

6.4 Payment for damage or additional charges must be made within 14 days of invoice.

7. Health, Safety & Security

7.1 Practitioners must comply with all health and safety procedures communicated by Y-curate. 

7.2 If you are the final practitioner leaving the premises and no Y-curate staff member is present, you are responsible for ensuring the premises are secured in accordance with the closing procedures provided during induction. 

7.3 Y-curate reserves the right to refuse access to any practitioner who breaches these Terms or whose conduct may place the premises, staff, clients, or other practitioners at risk.

8. Limitation of Liability

8.1 Y-curate accepts no responsibility for: 

  • loss, theft, or damage to personal belongings or equipment;  

  • interruption to services caused by events outside our reasonable control; or  

  • any claims arising from the practitioner’s professional services or client relationships.  

8.2 Nothing in these Terms excludes liability where it cannot legally be excluded under applicable law.

9. Termination

9.1 Y-curate reserves the right to suspend or terminate access to the booking platform and premises at its discretion where these Terms are breached. 

9.2 Any outstanding fees or liabilities will remain payable following termination. 

10. Conduct & Use of Premises

10.1 Practitioners are expected to conduct themselves in a professional, respectful, and considerate manner at all times while on the premises. 

10.2 Noise levels must be kept to an appropriate minimum so as not to disturb other practitioners, clients, neighbouring occupiers, or activities taking place within the building. 

10.3 Loud music, disruptive behaviour, inappropriate language, or any conduct that may interfere with the peaceful operation of the premises is not permitted. 

10.4 Practitioners are responsible for the behaviour of their clients while attending the premises and must ensure that waiting areas and shared spaces are used respectfully and kept tidy. 

10.5 Y-curate reserves the right to refuse access to or terminate bookings for any practitioner or client whose behaviour is considered inappropriate, unsafe, disruptive, or inconsistent with the professional environment of the premises. 

11. CCTV & Security

11.1 CCTV may operate in certain communal areas of the premises for the purposes of safety, security, crime prevention, and the protection of staff, practitioners, clients, and property. 

11.2 CCTV will not be installed within treatment rooms or private therapy spaces. 

11.3 Any CCTV footage will be managed in accordance with applicable UK data protection legislation, including the UK GDPR and the Data Protection Act 2018. 

11.4 By using the premises, practitioners acknowledge that they and their clients may be recorded in communal areas. 

11.5 Practitioners must not interfere with, disable, obstruct, or misuse any security or monitoring systems on the premises.

12. Governing Law

These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales. 

Cancellation Policy

 

Please provide at least 24 hours’ notice to cancel or reschedule any bookings, this provides opportunity for others to be contacted to fill this time.

 

Cancellations or rescheduling made less than 24 hours prior to your booked appointment will incur a cancellation charge subject to the full fee of your booking. Please email: info@ycurate.com at least 24 hours in advance of your bookings to avoid these fees. This policy includes ‘failed to attend’ appointments.
